Protecting your privacy

At all times we conduct our work with the privacy of individuals in mind. This means we ensure to collect the minimal personal data required, store it securely and are clear about how we will use the data. When we process your information and how it is used

The personal information that we collect from you will vary depending on the context of your interactions with us and the services that we are providing you. It may include, but is not limited, to the following scenarios and information:

If you participate in one of our research projects

We conduct research either on behalf of our clients or for projects initiated by Compass Research.

Where we free find participants to take part in our research, we use a third party to recruit people to take part in the research. Compass Research acts as the controller of this data and we process your data under the lawful basis of a contract or consent as appropriate. Your personal data will only be used for research purposes, which may include profiling however your data in this scenario is anonymised. Any data shared outside of the project managers is anonymised so you cannot be identified.

• The information we typically collect is:
• Contact details e.g. name, address, email, telephone number
• Image and/or voice captured through photography, filming and/or audio recording
• Demographic data e.g. date of birth, gender, educational background, job title, location
• Payment details e.g. bank details for the payment of incentives
• Occasionally we may collect sensitive information e.g. religion, health aspects.

Where we conduct research using our client’s data, Compass Research is acting as a data processor on our client’s behalf. We will only use this data to complete the task commissioned by our client and it will not use it for any other purposes. We sometimes inform our client as to who has been contacted to take part in the research, but not whether you actively took part.

Occasionally our clients may ask for any additional personal data we gather during the research to be passed back to them, this would only be undertaken if you give explicit consent for this to take place, in accordance to both the GDPR regulations and the Market Research Society Code of Conduct.

We will hold your data for up to 6 months from the end of the research project. If you have been asked and agreed to taking part in further research your data will held for up to one year.

As in accordance to the Market Research Society we do not provide any personal data to our clients as to who has taken part our research, unless you have provided explicit consent to do so.

If you are a client or potential client of Compass Research

We collect personal data:

• To enable us to supply our clients with good and services and information which has been requested
• To predict what businesses might be interested in;
• For all other purposes consistent with the proper performance of our operations and business and
• To contact businesses for your views on our products and services.

We may also email businesses about information and activities that we think they may be interested in. If you do not want us to send us updates like this, please email us at email@compassresearch.co.uk.

We process this data on the basis of either undertaking a contract which is entered upon whilst Compass Research conducts services on our client’s behalf. We also use legitimate interest to market our services as deemed appropriate. We may collect personal information for marketing purposes from places such as business directories and other commercially or publicly available sources. If you do not wish us to collect and use your personal information in these ways, it may mean that we will be unable to provide you with our products or services.

In order to improve the overall experience of using our website, we use a server-based log to place cookies and collect anonymous information about our visitors

• If you enquire about our services but do not subsequently conduct business with Compass Research, we will erase your details from our system after six months.

Who we may share your information with

Some of our service providers may have access to your data in order to perform services on our behalf – conducting surveys is a good example of this. We make sure anyone who provides a service for us has been vetted to ensure continuation of due diligence under GDPR and that they enter into an agreement with us and meets our standards for data security. They will not use your data for anything other than the clearly defined purpose relating to the service that they are providing on our behalf.

Compass Research Ltd never share, sell, rent or trade your personal information to any third parties for marketing purposes.

Where your information is processed?

The majority of your information is processed in the UK and European Economic Areas (EEA).

As part of the services offered to you through our website, the personal information you provide may be transferred to countries outside the European Economic Area (EEA). By way of example, this may happen if any of the computer servers used to host the website are located in a country outside of the EEA. If we transfer your personal information outside of the EEA in this way, we will take steps to ensure that your privacy rights continue to be protected as outlined in this privacy notice.

Compass Research Ltd may transfer your data to the USA to organizations organisations such as Facebook, Google, Focus Vision. The USA has weaker data protection laws than that of the EEA and therefore we will ensure that only organisations who are a part of the EU Privacy Shield initiative will handle your personal information.

How we protect your information

Compass Research Ltd is committed to protecting the personal information you entrust to us and we strive to comply with our obligations at all times. Any personal information collected, recorded or used in any way, whether on paper, online or any other media, will have appropriate safeguards applied in line with our data protection obligations.

We adopt robust and appropriate technologies and policies, so the information we have about you is protected from unauthorized access and improper use e.g. all of our information is stored in an encrypted format and our own network is protected.

How long we keep your information

We will keep your personal information only where it is necessary to fulfil our business requirements and/or provide you with our products and services.

• Client data will be held for up to 2 years after the last engagement
• Participants details are held for up to 6 months following the research they have taken part in, if they haven’t agreed to take part in further research. Details are held for up to a year if agreed to take part in further research.

There may be times when we may keep your information after this period but only where required to meet legal or regulatory obligations. The length of time we keep your information for these purposes will vary depending on the obligations we need to meet.

Your Rights

You have a right to receive clear and easy to understand information on what personal information we have and who we share it with – we do this in our Privacy Policy and Privacy Notices.

• Right of access You have the right to access to your personal information. If you wish to receive a copy of the personal information, we hold on you, you may make a data subject access request (DSAR).
• Right to request that your personal information be rectified If your personal information is inaccurate or incomplete, you can request that it is corrected
• Right to request erasure You can ask for your information to be deleted or removed if there is not a completing reason for Compass Research to continue to have it
• Right to restrict processing You can ask that we block or suppress the processing of your personal information for certain reasons. This means that we are still permitted to keep your information – but only to ensure we don’t use it in the future for those reasons you have restricted
• Right to data portability You can ask for a copy of your personal information for your own purposes to use across different services. In certain circumstances, you may move, copy of transfer the personal information we hold to another company in a safe and secure way.
• Right to object You can object to Compass Research processing your personal information where: it’s based on our legitimate interests (including profiling); for direct marketing (including profiling); and if we were using it for scientific / historical research and statistics.
• Rights related to automatic decision-making including profiling: Compass Research conduct research profiling on anonymised data only. We do not undertake any automatic decision-making for individuals.
